Open **Companies**, select a company and click the **Data sources** tab.\n2. Click **+ Add data source**.\n3. In the `Data source name` field, enter any name for identification, e.g. \"ABRA Flexi – Karlínfornia\".\n2. Select `Period from` – the first month from which you want to pull data (e.g. the first month of the previous fiscal year if you want year-over-year comparisons).\n3. Select `Period to` – the last month to be loaded. Set it far enough ahead so that newly posted months are pulled as well.\n4. Fill in `API company` – the company identifier in Flexi.\n2. Fill in `Custom attribute` – the URL of the Flexi server.\n3. Fill in the `Username` and `Password` of the user with API access.\n4. Check the entered values and click **Continue**, then click **Finish** in the **Done** step.\n\n> **Note:** The values must exactly match the configuration of your Flexi server. With a wrong company identifier, address or password the connection fails and no data is loaded.\n\n## After finishing\n\nThe new source appears in the data sources table with the status **Connected**. Symfio starts pulling and processing the accounting data automatically; it usually appears in the reports within 60 minutes. You can see the time of the last load in the **Last updated** column and in the report footer (\"Accounting data update\"). Further refreshes run automatically.\n\nAfter the first load, check the number of journal entries and the chart of accounts in the **Source data** report and assign new accounts in **Categorization › Mappings**.\n\n## Tips and common mistakes\n\n| Problem | Solution |\n| --- | --- |\n| Connection failed | Check the URL (including `https://` and the port, if any), the company identifier and the credentials. Verify that you can log in to Flexi in a browser with the same values. |\n| Data missing for a certain period | Verify that the selected `Period from` / `Period to` covers the months you expect in Flexi and that documents are posted in that period. |\n| Data stopped refreshing | Most often the API user's password expired or was changed. Use a dedicated user for Symfio. |\n| I do not know the API credentials | Contact the administrator of your ABRA Flexi system. |\n\n> **Warning:** If you previously uploaded data from Excel for the same period, deactivate the old source via the **⋮** menu. Click **Companies** in the left menu.\n2. Click **+ Add company**. The Add company form opens.\n3. Select the subscription the company should belong to in the **Subscription** field.\n4. Enter the **Company registration number** and click **Fill in company data** (Vyplnit data společnosti). Symfio loads the name, VAT ID and address from public registers.\n5. Check the pre-filled **Company name**, **Company VAT ID** and **Company street**. For companies outside the Czech Republic and Slovakia, fill them in manually.\n6. Select the **Company country**.\n7. Select the **Currency** – the currency the company keeps its books in (`Czech koruna (CZK)`, `Euro (EUR)` or `US dollar (USD)`).\n8. Optionally upload a **Company logo** – click the field or drag and drop a PNG file up to 1 MB.\n9. Select a **Parent entity** if the company is part of a group. Leave the field empty for a standalone company or for the parent company of a group.\n10. Choose the **Income statement subcategorization**: `Default` creates a set of recommended Symfio income statement subcategories, `Custom` leaves the list empty for your own structure.\n11. Click **Add company**. The default subcategories (for example Personnel costs, Depreciation, Revenue from products and services) allow accounts to be assigned automatically in the mapping. You can add custom categories at any time on the **Categorization** › **Categories** tab.\n\n> **Warning:** Choose the company currency according to the currency of its accounting. A foreign-currency entity within a group is converted in consolidated reports at a fixed annual rate (the rates are listed in **Source data** › **Exchange rates**).\n\n## What to do after adding a company\n\nAfter saving, the company detail opens with the tabs **Details, Data sources, External sources, Categorization, Users, Settings**. The new company has no data yet – continue as follows:\n\n1. Connect your accounting system or an Excel file on the **Data sources** tab › **+ Add data source**.\n2. Check the parameters on the **Settings** tab (revenue and expense account classes, VAT rates) – see [Company settings](https://symfio.app/en/docs/company-settings-2/).\n3. Open **Companies** in the left menu and click the company (or press `Ctrl` + `K`).\n2. Click **Edit company** on the **Details** tab.\n3. Change the fields you need. The form has the same fields as when adding a company, with the **Subscription** pre-filled; this is also where you change the **Parent entity** or replace the logo.\n4. Click **Edit company** to save the changes.\n\n## Adding a link to a company\n\nIn the **Links** section of the **Details** tab you can attach links to internal documents, shared folders or a website so that everything is in one place.\n\n1. Click **+ Add link** in the **Links** section.\n2. Fill in the display name of the link and its URL.\n3. Save the link. It appears in the list in the Links section.\n\n## Switching between companies\n\nThere are two ways to switch companies, depending on what you want to do:\n\n- **Company administration** (data sources, users, settings): press `Ctrl` + `K` and pick the company in the **Go to company** dialog, or open the **Companies** list and use the **Search companies** field.\n- **Reports**: click **Company selection** in the report toolbar, tick one, several or **Select all**, and confirm with **Apply**. The Symfio logo sits at the top, followed by menu items grouped by purpose. It switches the whole interface, including report names.\n- **News** (Novinky) – a bell icon with the number of unread items. It opens the News panel, which lists platform updates with a date and a **Read more** link.\n- **Avatar** – a round icon with your initial. When you send a colleague a link to a report, it opens in the same language you copied it in. You can change the language at any time with the switch in the header.\n\n## Quick company switch\n\nIf you manage several companies, you do not have to browse the Companies list. Press `Ctrl` + `K` to open the **Go to company** (Přejít na společnost) dialog, start typing the company name and confirm your choice. The same shortcut is shown in the top-right corner of the company detail page.\n\n> **Tip:** Inside the reports themselves you switch companies differently – with the **Company selection** button in the report toolbar, where you can tick one, several or all companies (consolidated view). The `Ctrl` + `K` shortcut takes you to the administration of a specific company.\n\n## Data freshness\n\nAt the bottom of every report you will find **Accounting data update** (Aktualizace účetních dat), for example `23. 09. 2026, 19:21`. This is the time the data was last loaded from your sources (accounting system or Excel). If you cannot see recent entries in a statement, check this timestamp first and then the status of the data source on the **Data sources** tab of the company detail.\n\n## Where the administration pages are\n\nAdministration is concentrated in two items at the bottom of the left menu:\n\n- **Companies** – the list of companies with the **+ Add company** button. Clicking a company opens its detail with the tabs **Details, Data sources, External sources, Categorization (Categories / Lists / Mappings), Users, Settings**. Everything that concerns a single company is configured here.\n- **Subscriptions** – the list of subscriptions that group companies and users (see [Subscription](https://symfio.app/en/docs/subscription-2/)).\n\n## Where to start\n\nIf you are new to Symfio, go through these steps in order. Each step is described in detail in its own article.\n\n1. Add a company in **Companies** › **+ Add company** ([Adding a company](https://symfio.app/en/docs/adding-a-company/)).\n2. Connect a data source on the **Data sources** tab of the company detail › **+ Add data source** – an accounting system or an Excel file.\n3. In this guide you will add balance sheet categories and subcategories, check the account mapping and verify the result in the **Balance sheet** report.\n\n## Before you start\n\n- **Permissions:** categories and mappings are edited by a user with the **Administrator** role who has the `View categories data management` (Zobrazit kategorie management dat) and `View mappings data management` (Zobrazit mapování management dat) access switches enabled for the company.\n- **Time required:** 20–40 minutes, depending on the size of the chart of accounts.\n- **Have ready:** the internal balance sheet structure you want (which accounts belong to which groups) and the company's chart of accounts.\n\n## How the balance sheet is structured in Symfio\n\nEvery balance sheet account has three levels of classification in the mapping. Together they form the row hierarchy of the report.\n\n| Field | Meaning | Who sets it |\n| --- | --- | --- |\n| `Balance sheet type` (Typ rozvahy) | The main part of the balance sheet: `Assets`, `Liabilities and equity` or `Transition accounts`. It decides whether and where the account appears in the balance sheet. | The system. You only check the value. |\n| `Balance sheet category` (Kategorie rozvahy) | The main breakdown within a type, for example `Equity`, `Short-term liabilities`, `Short-term assets`, `Taxes` or `Cash`. | A default set from Symfio; you can add custom ones. |\n| `Balance sheet subcategory` (Podkategorie rozvahy) | A detailed breakdown within a category, for example `Profit and loss`, `Share capital`, `VAT`, `Employees`, `Payables`, `Receivables` or `Bank`. | A default set from Symfio; you can add custom ones. |\n\n> **Important:** The balance sheet type is a fixed parameter. Do not change it. It builds the basic skeleton of the balance sheet automatically. Items that do not belong to the balance sheet by their type (off-balance-sheet items) are not loaded into the Balance sheet report. This leaves you free to focus on the detailed breakdown through categories and subcategories.\n\n## 1. Check and add balance sheet categories\n\n1. Click **Companies** in the left menu and select the company whose categories you want to edit.\n2. Open the **Categorization** tab and choose **Categories** from the menu.\n3. Go to the **Balance sheet categories** (Kategorie rozvahy) tab.\n4. Review the existing categories. The table has the columns `Value in English`, `Value in Czech` and `Custom` – the value `Default` marks a system category, the value `Custom` marks your own category.\n5. If you need a new category, click **+ Add category** and fill in the name in English and Czech.\n6. Save your changes with **Save categories**.\n\n> **Note:** Categories marked `Default` are predefined by the system and cannot be edited. You can only edit categories marked `Custom`. The application also warns that by editing custom categories you lose the option of having them assigned automatically. Custom categories therefore have to be assigned to accounts manually in the mapping.\n\n## 2. Check and add balance sheet subcategories\n\nThe Balance sheet subcategories tab is used for a more detailed breakdown of the individual categories.\n\n1. In **Categorization › Categories**, open the **Balance sheet subcategories** (Podkategorie rozvahy) tab.\n2. Review the existing subcategories, for example `Employees`, `Payables`, `Receivables` or `Bank`.\n3. Click **+ Add category** to create a new subcategory.\n4. Fill in the name in English and Czech.\n5. Click **Save categories**.\n\n> **Tip:** Create custom subcategories only when you need a finer breakdown of the balance sheet for internal reporting. The fewer custom items you have, the easier the mapping is to maintain. As with categories, only items marked `Custom` can be edited.\n\n## 3. Map accounts to the balance sheet structure\n\nIn Categorization › Mappings you check how individual accounts are classified in the balance sheet structure. Click **Add row**.\n2. Choose the **Cash flow type**: **Receipt** (sales, collection of receivables) or **Payment** (costs, settlement of payables).\n3. Fill in the values of the other forecast dimensions.\n4. Confirm with **Add row**.\n\n### Creating a new dimension value\n\nIf the value you need does not exist in the drop-down, create it directly in the form:\n\n1. Start typing the name of the new value into the dimension field.\n2. A *Not found* message with a **+** button appears.\n3. Click **+** to create the new value.\n4. After filling in all parameters click **Add row**.\n\n> **Tip:** add receipts and payments separately. Tag the cash accounts with the `Cash` tag (Categorization › Lists).\n2. Prepare the cash flow subcategories you need (Categorization › Categories).\n3. Map contra accounts to cash flow categories and subcategories (Categorization › Mappings › Cash flow).\n\n> **Note:** The main cash flow categories (`CF category` / Kategorie PT: operating, investing and financing cash flow) are defined by the system and cannot be edited. You tailor the structure of the statement with `CF subcategories` (Podkategorie PT).\n\n## 1. Tag the cash accounts\n\nIn the first step you decide which accounts enter the cash flow calculation.\n\n1. Click **Companies** in the left menu and select the company you want to set up.\n2. Set up cash flow subcategories\n\nNext, check and, if needed, add the subcategories used for the detailed breakdown of the statement.\n\n1. The settings in this area directly determine the structure and breakdown of management reporting for your company or group: here you define the typology, the categories and their links to the analytical accounts of the income statement and balance sheet.\n\nCorrect categorization is the prerequisite for the key statements – the **Income statement**, **Balance sheet** and **Cash flow statement** – and for the other reports and metrics in Symfio (for example the Executive summary or Plans) to work properly.\n\n## Before you start\n\n- **Permissions:** categorization can only be set up by a user with the **Administrator** role for the given company (permissions *View management data categories / lists / mappings*).\n- **Time required:** 90–120 minutes, depending on the size of the chart of accounts and the number of dimensions you want to map.\n- **What to prepare:** a connected, active accounting data source with lists of accounts, cost centres, contracts and activities (the **Data sources** tab must show the status **Connected**). It also helps to have the target structure of your income statement thought through in advance, for example in Excel.\n\n## Where to find categorization\n\nCategorization is configured separately for each company in its company detail.\n\n1. In the left menu click **Companies** and select the company you want to configure (you can also switch quickly with `Ctrl`+`K`).\n2. In the company detail open the **Categorization** tab.\n3. Each data type has its own tab: **Chart of accounts**, **Cost centres** (Střediska), **Contracts** (Zakázky) and **Activities** (Činnosti). Lists are the foundation for mapping reporting dimensions and can be enriched with your own metadata.\n\n### Chart of accounts\n\nThe **Chart of accounts** tab shows the analytical accounts transferred from your accounting source. The `Account number` and `Account name` columns are informational only and cannot be edited. For each account you can fill in or set:\n\n| Column | How to enter | Description |\n| --- | --- | --- |\n| `Custom account name` | type into the cell | Internal account name used for reporting. |\n| `Label` (Štítek) | double-click → drop-down | Reporting category of the account (see Labels below). |\n| `Counter-account label` | double-click → drop-down | Reporting category of the counter-account. |\n| `Default cost centre ID` | type into the cell | Default cost centre assigned to transactions on this account. |\n| `Default activity ID` | type into the cell | Default activity assigned to transactions on this account. |\n| `Intercompany category` | type into the cell | Used for group consolidation – marks intercompany accounts (e.g. Intercompany services, Intercompany balance, Intercompany capital). |\n| `Intercompany subcategory` | type into the cell | More detailed breakdown of intercompany items. |\n\n### Labels\n\nLabels mark items by their meaning or function in reporting. With labels you determine, for example, which items enter the calculation of indicators in reports such as the **Cash flow statement** (direct method) or the **Executive summary**. In other words, labels give you finer and more flexible control over how individual cost and revenue items appear in analytical views.\n\n1. Double-click the `Label` cell of the relevant account.\n2. Pick a value from the drop-down (for example *Equity*, *Non-operating* or *Capex*). Labels can be combined – one account may carry several labels at once.\n3. Fill in the `Counter-account label` column the same way if the counter-account should be labelled too.\n\nThe description of each label and its use is shown in the drop-down directly in the application. Cost centres, contracts and activities have their own set of labels.\n\n> **Note for groups:** For companies operating within a group, consolidation and reconciliation rely – in addition to intercompany categories – on the company's position in the group hierarchy (parent entity, intercompany level) and on assigning a group counterparty to an account. Before setting counterparties, the profiles of all group companies must be set up correctly (the **Parent entity** field in the company detail). You verify eliminations in the Balance sheet using the intercompany check view, where the TOTAL row must equal 0.\n\n### Adding an account and saving\n\n1. If you need to add another analytical account to the chart, click **+ Add account** in the top right.\n2. Enter the account number and name and confirm with **Add**.\n3. When you have finished all edits, click **Save data** in the bottom right.\n\n### Cost centres, Contracts and Activities\n\nThe **Cost centres**, **Contracts** and **Activities** tabs show the code lists transferred from your accounting source. For each item you can add:\n\n- a label – by double-clicking and choosing from the drop-down,\n- a category (of the cost centre, contract or activity), a responsible person and an employee name – by typing into the cell.\n\nAdd a new item with the add button in the top right of the tab (enter the ID and name and confirm with **Add**). After editing, always click **Save data**.\n\n## Categories\n\nThe **Categories** part contains predefined dimension values for the three key reporting outputs. Default values (marked **Default** in the `Custom` column) cannot be edited, but you can extend them with your own items. The main **PL Categories** (Revenue, Cost of sales, Overheads, Other expenses, Other income) are fixed in Symfio.\n- **PL Subcategories 2** – an optional further level of breakdown. The default values are Unassigned expenses and Unassigned revenue; you can add more.\n\n### Balance sheet\n\n- **BS Categories** – predefined values for the main breakdown of the balance sheet, for example Equity, Current assets, Current liabilities, Taxes, Cash or Fixed assets.\n- **BS Subcategories** – a more detailed breakdown of balance sheet accounts, for example Profit and loss, Share capital, VAT, Receivables, Payables, Cash at bank, Real estate or Prepaid expenses.\n\n### Cash flow\n\n- **CF Subcategories** – predefined values for the detailed breakdown of the cash flow statement, for example Customers, Suppliers, Employees, VAT, Taxes, Dividends or Capital expenditure.\n\n### Adding a custom category\n\n1. Open the relevant tab (for example **PL Subcategories**).\n2. Click **+ Add category** in the top right.\n3. Fill in the value in English and in Czech and confirm with **Add category**. The new item shows **Custom** in the `Custom` column.\n4. Click **Save categories** in the bottom right.\n\n> **Warning:** Below the table the application warns that by editing custom categories you lose the option of assigning them automatically. If you rename a custom category, you must map accounts to it manually. See [Managing categories for financial reports](https://symfio.app/en/docs/managing-categories-for-financial-reports-2/) for details.\n\n## Mappings\n\nMapping is the most important step of categorization. Here you assign reporting dimensions to specific analytical accounts – without correct mapping, data will not display correctly in the output reports. Each table row corresponds to one account from the chart of accounts, and you open the value in a cell by double-clicking. Above the table is the toggle **Automatically assign default PL subcategories**, which pre-fills default subcategories based on account numbers; in the top left you find the **+ Add row** button for manually adding a combination missing from the table.\n\n| Column | Required | Meaning |\n| --- | --- | --- |\n| `PL Type` | yes (class 5 and 6 accounts) | Determines whether the account is **Expenses** (class 5) or **Revenue** (class 6). Without this value the account does not appear in the income statement at all. |\n| `PL Category` | recommended | Main breakdown of the management income statement: Revenue, Cost of sales, Overheads, Other expenses, Other income – according to the nature of the account. |\n| `PL Subcategory` | recommended | More detailed breakdown within the category. Set accounts you do not want to assign to **Empty**, **Unassigned expenses** or **Unassigned revenue**. |\n| `PL Subcategory 2` | optional | The lowest level of breakdown for class 5 and 6 accounts. Set it only when your reporting needs require it. |\n| `Label` | optional | Supplementary identifier that ensures items are correctly placed in the Income statement and other reports. Can be changed at any time; see Lists › Labels for the meaning of labels. |\n| `BS Type` | yes (class 0 to 4 accounts) | Available values: **Assets**, **Liabilities and equity**, **Transitory accounts**. |\n| `BS Category` | recommended | Main breakdown of the balance sheet (Equity, Current liabilities, Current assets, Taxes, Cash …). |\n| `BS Subcategory` | optional | More detailed breakdown of balance sheet accounts (Profit and loss, Share capital, VAT, Employees, Payables, Receivables, Cash at bank …). |\n\n> **Note:** The default Symfio setup does not include predefined items for `PL Subcategory 2`. If your management reporting needs them, create them under Categories or contact the Symfio team – we are happy to help prepare and upload them.\n\n> **Example – mapping expense account 518000:**\n>\n> 1. Find account `518000` in the table.\n> 2. In the `PL Type` column double-click and choose **Expenses**.\n> 3. In the `PL Category` column choose **Cost of sales**.\n> 4. In the `PL Subcategory` column choose **Production costs**.\n> 5. If you do not want to break down the items on account 518000 further, leave `PL Subcategory 2` empty. Otherwise pick a prepared subcategory 2.\n> 6. Given the nature of the costs on this account, no label is needed.\n> 7. In the `BS Type` column choose **Liabilities and equity**, in `BS Category` **Equity** and in `BS Subcategory` **Profit and loss** – this way profit-and-loss accounts correctly flow into the result for the period in the balance sheet.\n>\n> Analytical accounts of classes 0 to 4 are mapped with the same logic, but exclusively to the types, categories and subcategories belonging to the Balance sheet area.\n\n> **Tip:** For accounts you do not want to include in the income statement or balance sheet, set the relevant dimension to **Empty**.\n\nWhen you are done, click **Save mappings**. In a live (visual) report, where values change with every accounting data refresh, they would lose their meaning. If you cannot add a comment in a report, first check that you are working with a static report.\n\n## Enabling comments\n\nComments are **not visible in the table automatically**. You have to enable them first:\n\n1. Open the static report: on the statement page click **Show** in the **Saved reports and filters** bar and select the report chip in the **Saved reports** section.\n2. Click the **Comments** toggle in the saved reports bar.\n3. Select the columns for which comments should be displayed (for example Actual, Plan, Comparison).\n4. Click the value in the table you want to comment on and write the comment. As soon as you write the first comment, the application warns you with a blue panel and the status bar at the bottom of the screen shows *Unsaved changes*.\n\n1. Write all the comments you want to add to the report.\n2. Check the status bar at the bottom of the screen.\n3. Save the comments with the button in the blue panel before you leave or refresh the page.\n\n> **Warning:** if you refresh or close the page without saving, unsaved comments are lost.\n\n## Finding your way around comments\n\n- **Show Comments** lets you quickly browse through all comments in the report.\n- **Hidden Comments:** if a part of the table that contains a comment is collapsed, the bottom panel shows a notice that some comments are hidden. Expand the respective level (with **+** on the row or the **Expand to next hierarchy level** icon) to reach the comment.\n- The **status bar** at the bottom of the screen always shows whether you have unsaved changes (*Unsaved changes*).\n\n> **Comments in static reports from the Custom menu:** custom static reports in the **Custom** menu (for example the Závěrka closing report created as a Claude artifact) also support comments. For Czech and Slovak accounting keep the values `6` and `5`. If you use a different chart of accounts (for example a foreign entity with another structure), enter the corresponding class – otherwise the accounts will not appear in the Income statement and will end up in the Unassigned expenses row.\n\n### VAT rates\n\nThe default VAT rates are used only for the cash flow forecast: from planned revenue and expenses Symfio estimates the VAT that will have to be paid or can be reclaimed. If most of the company's supplies fall under a different rate (for example a reduced rate or exempt supplies), set the rate that matches the majority of turnover. Actuals from accounting are not affected by these values.\n\n### Opening period\n\nThe `Manual first application date / opening period` value defines the start of the data. Set it to the beginning of the first year you want to see in the reports. If you connect historical data covering several years but leave a later date, the older years will not appear in the reports.\n\n### Overdraft\n\nThe `Overdraft value` increases available cash in the cash flow forecast by the agreed credit facility. Enter the amount in the company currency. If the company has no overdraft, leave 0.\n\n## Edit company and Links\n\nThe **Settings** tab deals with data processing. The basic company details are on the **Details** tab:\n\n- **Edit company** – the button on the Details tab opens a form with the same fields as when adding a company (Subscription, registration number, Name, VAT ID, Street, Country, Currency, Logo, Parent entity, Income statement subcategorization). Coordinate the installation and registration with Symfio support.\n- **Test.** Verify that you can connect to the database with the given username and password (e.g. from the machine where the integration runtime will run).\n\n> **Tip:** Set the database user's password without expiration, or note the expiration date. An expired password is the most common reason why data stops refreshing.\n\n## Creating the data source\n\n1. Open **Companies**, select a company and click the **Data sources** tab.\n2. Click **+ Add data source**.\n3. In the **Data source type** step, select your system: **Pohoda SQL**, **Helios iNuvio**, **Money S4**, **Money S5** or **Kros Omega**.\n4. For a server reachable from the internet, data is usually loaded within 60 minutes. With an integration runtime, the first load starts after the agent is installed and registered in your network – support will let you know once the connection is active. A proven structure:\n\n1. **Role and goal:** in one sentence, who Conrad is and what should be produced. *\"You are the group controller. Prepare the monthly income statement commentary for management.\"*\n2. **Output format:** describe the structure precisely. *\"1) a 3-sentence summary, 2) a table Revenue / Gross profit / Operating profit / Net profit with the columns actual, plan, Δ, Δ %, 3) the three largest variances with explanation, 4) recommendations.\"*\n3. **Rules:** how to handle numbers and language. *\"Amounts in CZK thousands without decimals. Variances always against the plan in the Main scenario. Use the category names from Symfio. Answer in English.\"*\n4. **Exceptions:** what to ignore or handle separately. *\"Exclude intercompany transactions. Do not comment on items below CZK 50 thousand individually, summarise them as Other. If there is no plan, say so and compare with last year.\"*\n5. **Sources:** require traceability. *\"For every variance state the account and document it comes from.\"*\n\n> **Tip:** fine-tune the skill iteratively. Run it, compare the output with what you would write yourself, and add the missing rule to the instructions via **Edit**. Older conversations are in the **RECENT** list or via **Search conversations**.\n\n## What to ask Conrad\n\nConrad works on the same data as the Symfio reports: statements, cash flow, receivables and payables, and account mapping. Typical tasks and example questions (conversation names from the demo environment):\n\n| Area | Example question |\n| --- | --- |\n| **Statements** | *\"Top 3 drivers of H1 2026 results\"* – which items influenced profit the most in the first half-year and by how much. |\n| **Cash flow** | *\"Explain the change in cash flow versus last quarter\"* – breakdown of the change into operating, investing and financing flows. |\n| **Receivables** | *\"Unpaid invoices of the holding by urgency\"* – open documents sorted by days overdue. |\n| **Account mapping** | *\"Check the account mapping of Karlínfornia\"* or *\"show me how account 518900 is classified\"* – which income statement category and subcategory the account falls into and whether it makes sense. |\n| **Group anomalies** | *\"Suspicious transactions in the group\"* – unusual amounts, duplicate documents or entries outside the usual pattern across companies. |\n\nYou can ask in English, Czech or Slovak; Conrad answers in the language of the question.\n\n## How to ask for a useful answer\n\n> **Name the company and the period.** *\"What are our costs?\"* is too vague. Better: *\"Overhead costs of Karlínfornia Property for Q3 2026 by cost center, compared with Q2.\"* If you have access to several companies, Conrad otherwise has to guess which one you mean.\n\n> **Ask for a table.** Add *\"answer with a table with the columns item, amount, share in %\"*. You can then easily copy the result into an e-mail or a presentation.\n\n> **Ask for the source rows.** For every important figure, request the accounting entries it comes from: *\"list the journal entries that make up this amount, including document and account\"*. Open the statement you want to build on from the **Reports** menu, for example **Income statement**.\n2. Set the **company selection** and the **period selection** in the bar above the table. For a consolidated view select several companies or **Select all** and confirm with **Apply**.\n3. In the **Saved reports and filters** bar click **Show**.\n4. Click **Create custom report**. For each level you choose one parameter (dimension); parameters can be combined and ordered freely across levels. Available parameters:\n\n- Income statement category and subcategory\n- Cost center\n- Account (account number and name)\n- Project (order)\n- Activity\n\n*The list of parameters may differ depending on your company setup (for example whether you use cost centers, projects and activities).*\n\n> **Example:** the hierarchy Income statement category → Cost center → Account gives you a report where costs first break down into categories, inside each category into cost centers, and only at the lowest level into individual accounts. The chosen hierarchy is shown in the heading above the table, for example *Income statement by custom selection — Income statement category › Income statement subcategory › Cost center*.\n\n## Step 2: Values and comparisons\n\nBelow the row structure you define which values the report should display.\n\n### Time comparison\n\n- current month vs. previous month,\n- current month vs. the same month of the previous year,\n- monthly values together with cumulative values from the start of the year (*year-to-date, YTD*).\n\n### Plan scenarios\n\nChoose one of the plan scenarios your company has defined in income statement **Plans** (for example the `Main` scenario, Budget, Forecast 1). The list reflects what you have created. In the income statement, next to the **Actual** column (*SKT*), the report then shows the **Plan** column (*PLN*) of the selected scenario and the **Δ** column (difference in absolute terms and in percent; positive values in green, negative in red).\n\n![Income statement with the Actual, Plan and Δ columns for each month.](https://symfio.app/wp-content/uploads/2026/10/income-statement.jpg)\n*Income statement with the Actual, Plan and Δ columns for each month.*\n\n## Step 3: Filtering and consolidation\n\nThe report lets you target exactly the data you are interested in:\n\n| Filter | Purpose |\n| --- | --- |\n| **Consolidation group** | Shows data for the whole group of companies (the parent entity and its subsidiaries). |\n| **Intercompany** | Filters values at the level of intragroup relations; use it when checking the elimination of mutual transactions. |\n\n### Lists: dimension filters\n\nUnder the **Lists** button you find the filters for individual dimensions. Each dimension shows the number of available values, so you immediately see how many there are in the data.\n\n| Dimension | What it filters |\n| --- | --- |\n| **Activity** | Activity. Records without an assigned activity are listed under the value `no activity`. |\n| **Cost center** | Cost center. |\n| **Project** | Project or order. |\n| **Company name** | Company; useful with a consolidation group. |\n| **Account** | Specific accounts from the chart of accounts. |\n\nFor each dimension you can search the values and use **Select all**. The **Clear all** link in the header removes all dimension filters at once.\n\n> **Tip:** a high number of values in a dimension (for example 210 cost centers) usually means it pays off to filter before breaking down the row structure. Otherwise the table becomes hard to read.\n\n## Display units\n\nIn the **Units control** panel in the top right you switch the units in which numbers are displayed:\n\n| Option | Meaning |\n| --- | --- |\n| **#** | Base units (full amounts). |\n| **K** | Thousands. |\n| **M** | Millions. |\n\nThe unit setting is part of the saved report. You switch the report currency with the currency button (for example **CZK**) in the bar above the table.\n\n## Saving the report\n\n> **The report must be saved.** Until you save it, the whole configuration (row structure, selected values, filters and units) exists only temporarily and you lose it when you refresh or leave the page. You recognise an unsaved state by the **Modified (unsaved)** indicator in the saved reports bar.\n\n1. In the **Saved reports and filters** bar click **Save report as**.\n2. Enter a **name** for the report.\n3. Choose the report type: **Visual report** or **Static report** (see the table below for the differences).\n4. Check the **hierarchy** the report is saved with, for example *Income statement category → Income statement subcategory → Account*.\n5. Confirm. The report appears as a chip in the **Saved reports** section, where you can return to it at any time.\n\n### Visual or static report\n\nThe type matters: it decides whether the report stays live or gets frozen.\n\n|  | Visual report | Static report |\n| --- | --- | --- |\n| **What is saved** | Only the report configuration (filters) | Configuration and data |\n| **Company, period, currency** | Stay live | Frozen at the moment of saving |\n| **Data** | Updated with every accounting data refresh | Frozen at the moment of saving |\n| **Editing after opening** | The report remains editable | Filters are locked, only comments remain active |\n| **Comments** | Not available | Can be created and saved |\n\nFor both types the following is saved together with the hierarchy: the selected comparison, intercompany settings, the source of values (actuals / adjusted data), the plan scenario, dimension filters and units. A static report additionally freezes the company, the period and the data at the current moment.\n\n- Choose a **visual report** for a view you return to regularly and want to see current figures in, for example a monthly overview of costs by cost center.\n- Choose a **static report** for a moment you need to fix and comment on, for example a month-end close, material for a management meeting, or the version of the numbers sent to the board. Working with comments is described in [Comments in static reports](https://symfio.app/en/docs/comments-in-static-reports-2/).\n\n## Tips and common mistakes\n\n> **Drill-down:** the **Click a value for details** button works in custom reports too. Click a number in the table to open the detail of the accounting entries that make up the value.\n\n> **Expanding and export:** the icons in the top left corner of the table export the data to Excel (**Export data**), sort, and expand or collapse the hierarchy by one level. Contact our support team to request new data sources.\"* If you use a different system, write to **support@symfio.app** and load your data from Excel until the connector is available.\n\n## The Add data source wizard\n\nAll connectors use the same four-step wizard. Only the content of step 3 differs.\n\n1. Open **Companies**, select a company and go to the **Data sources** tab.\n2. Click **+ Add data source**.\n3. All months within this range are loaded, including both end months. Entries outside the range are ignored by Symfio even if they exist in the accounting system.\n\n- If you want year-over-year comparisons in reports, set `Period from` to the first month that should be visible in the reports.\n- For a continuously connected accounting system, set `Period to` far enough ahead (for example the end of the current fiscal year) so that newly posted months are loaded as well.\n- For a one-off Excel import, set the range exactly to the months contained in the file.\n\n## How data refreshes work\n\nConnected sources (API and SQL connectors) refresh automatically – Symfio regularly pulls new and changed accounting entries, there is nothing to run manually. You can see the time of the last refresh in two places:\n\n- in the **Last updated** column of the data sources table – separately for each source,\n- in the footer of every report as *\"Accounting data update: 23. 09. 2026, 19:21\"* (Aktualizace účetních dat) – the time the numbers you are looking at are valid for.\n\nAfter the first connection, data usually appears in the reports within 60 minutes. An **Excel file** source does not refresh by itself – you upload new or corrected data as a new source.\n\n## Tips and common mistakes\n\n> **Beware of doubled data:** When you upload a new Excel covering the same period (for example a corrected version), deactivate the old source via the **⋮** menu. Two active sources with the same months are added together – revenue and costs double, foreign currency conversions look wrong and the intercompany balance does not net to zero.\n\n> **Tip:** Give sources descriptive names, for example *Pohoda 2024–2026* or *Excel – correction 03/2026*. You will then immediately see in the table which source to deactivate.\n\n> **Note:** A deactivated source can be activated again later. Use an external source when the plan already exists outside Symfio and you only want to display and compare it.\n\n## Step 1: Share the spreadsheet with the Symfio service account\n\nSymfio reads the spreadsheet under the account `pbi@proefo.com`. Without access for this account the connection fails.\n\n1. Open the spreadsheet in Google Sheets.\n2. Click **Share** in the top right corner.\n3. In the field for adding people, enter `pbi@proefo.com`.\n4. Set the role to **Viewer** – edit rights are not needed.\n5. Confirm with **Send** (you can turn off the e-mail notification).\n6. A plan is always tied to one company. |\n| **Name** | Yes | Any name identifying the plan (for example *Budget 2026*). |\n| **From year** | Yes | The first year of the plan (options 2021–2031), typically the last closed year so that you also see history. |\n| **To year** | Yes | The last year of the plan (options 2026–2036). |\n\n### Setting the dimensions\n\nDimensions define the structure (row hierarchy) of your plan. Five dimensions are available:\n\n- **Dimension 0** defaults to **Income statement type** (Revenue / Costs). One of the dimensions must always contain Income statement type, otherwise the plan cannot be saved and data without an assigned income statement type is not displayed.\n- **Dimensions 1–4** are optional. Choose: *Empty*, *Account*, *Activity*, *Cost center*, *Company name*, *Project*, *Income statement category*, *Income statement subcategory*, *Income statement subcategory 2* or *Income statement type*.\n\n> **Example:** Dimension 0 = Income statement type, Dimension 1 = Income statement subcategory, Dimension 2 = Cost center. The plan table then has the hierarchy *Income statement type | Income statement subcategory | Cost center*. Leave unused dimensions set to *Empty*.\n\n## Plan detail\n\nAfter saving, the plan detail opens. In the header you find:\n\n- **Scenario** – switching between the plan scenarios (default `Main`).\n- **Closed period** – the month up to which the data is actuals (for example `09/2026`). Complete the mapping under **Categorization › Mappings**.\n\n## Adding rows to the plan\n\nA new plan has an empty table. You add the revenue and cost rows manually:\n\n1. Click **Add row**.\n2. In the dialog fill in the values for all dimensions of the plan one by one.\n3. In the **Income statement type** field choose **Revenue** (to plan income) or **Costs** (to plan expenses).\n4. Confirm with **Add row**.\n\n### Creating a new dimension item\n\nIf the item you need (for example a cost center or activity) does not exist in the list, create it directly in the dialog:\n\n1. Type the name of the new item into the dimension search field.\n2. Click the **+** button next to the field.\n3. Fill in the **ID** and **Name** of the new item.\n4. Confirm with **Add** and finish adding the row.\n\n> **Tip:** each row represents one combination of dimensions into which you enter monthly values. For a complex plan create separate rows for revenue and costs of each combination (for example cost center + account).\n\n## Entering planned values\n\nAfter adding rows the table shows a hierarchical structure according to the configured dimensions. You enter values directly into the cells at the lowest level of the hierarchy, and only in planned months (columns not marked **Actual**).\n\n1. Click the cell of the respective month.\n2. Enter the planned value in the company currency (for example CZK).\n3. Move to the next cell or confirm with `Enter`.\n4. When you finish editing, save the plan (**Save plan** button).\n\nValues are summed automatically into the higher levels of the hierarchy and feed the **Planned revenue**, **Planned costs** and **Planned net profit** KPI tiles above the table.\n\n## Comparing with actuals\n\n1. Switch on the **Compare with actuals** toggle above the table.\n2. The table shows **Actual** columns with the real values from accounting next to the plan.\n3. Differences between plan and actuals are colour-coded (red = overspend, green = saving).\n\nFor readability use **Expand all** / **Collapse all** or **Level**, which expands the table only to the selected hierarchy level.\n\n## Plan comments\n\nYou can add comments to individual plan items to explain variances or leave notes for colleagues.\n\n1. Click **Comments (0)** above the table (the number shows the comment count).\n2. Write the comment into the text field.\n3. Confirm with **Add**.\n\n## Working with scenarios\n\nEach plan can contain several scenarios. Scenarios let you compare different variants of the plan, for example optimistic, pessimistic and realistic. You switch between scenarios in the **Scenario** field in the plan header; each scenario is edited independently of the others.\n\n1. Click the **Scenario** drop-down in the plan header.\n2. Select **+ Add scenario**.\n3. Enter the name of the new scenario.\n4. Optionally enable **Copy scenario** to copy values from an existing scenario.\n5. Confirm with **Add scenario**.\n\n> **Tip:** use copying when creating alternative scenarios. You save time and only adjust the values that differ.\n\n## The plan in the Income statement\n\nA saved plan is automatically reflected in **Reports › Statements › Income statement**. These show **Default** in the `Custom` column. Custom items in the Karlínfornia demo include, for example, *Bank fees*, *IT and software* or *Engineering*.\n\n> **Important:** Default categories are system categories and cannot be changed. Only categories marked **Custom** can be edited. If a colleague should work with all companies in a group, repeat the invitation in each of them. An invitation to the parent company does not by itself grant access to the subsidiaries.\n\n## User roles\n\nWhen inviting a user you choose one of three roles. The role defines what the user may do with the data; the toggles in the **Access** section then define which pages they can see.\n\n| Role | What they can do | Typical users |\n| --- | --- | --- |\n| **Reader** | Views the reports, plans and forecasts they have access to. Changes nothing. | Management, investors, auditors, colleagues who only need to read. |\n| **Editor** | Everything a Reader can do, plus editing plans and forecasts, adding comments and, where you allow it, working with categorization data (categories, lists, mappings). | Controllers, finance managers, accountants. |\n| **Administrator** | Full management of the company, including data sources, settings and users. | CFO, application owner, chief accountant. |\n\n> **Tip:** Follow the principle of least privilege. Open **Companies** in the left menu and click the company (or press `Ctrl` + `K`).\n2. Go to the **Users** tab.\n3. Click **Add user**. The **Invite user** form opens.\n4. Enter the user's **E-mail**. This is the address they will sign in with.\n5. Select a **Role**: `Reader`, `Editor` or `Administrator`.\n6. Set the toggles in the **Access** section according to what the user should see. **Select all** enables everything, **Clear all** lets you start from scratch.\n7. Click **Invite user**. If you invite a person who has not used Symfio before, expect that they will be able to sign in only after approval. Users who already have an account (for example from another company) get access once they accept the invitation.\n\n## Tracking invitations\n\n1. Switch to the **Invitations** tab on the **Users** page.\n2. Check whether the invitation is still pending. Once accepted, the user moves to the list on the **Users** tab with an active status.\n3. If the user cannot sign in, verify the e-mail address and whether they have already been approved by the Symfio team.\n\n## Changing a role or access\n\n1. Find the user in the table on the **Users** tab (columns Name, E-mail, Role, Status, Actions).\n2. Click **Edit** in the **Actions** column.\n3. Change the **Role** or the toggles in the **Access** section.\n4. Save the changes. They take effect the next time the user loads the page.\n\n## Removing a user\n\n1. Find the user in the table on the **Users** tab.\n2. Click **Remove** in the **Actions** column and confirm.\n3. Repeat the removal in every other company the user had access to – removal applies only to the current company.\n\n## Tips and common mistakes\n\n> **Tip:** When a colleague joins a group of companies, prepare the list of companies and use the same set of toggles in each one – inviting is quick when you know in advance what to tick.\n\n> **Note:** A Reader with `View source data` enabled can see individual journal entries, including counterparty names and document texts. It contains the mapping used for the income statement, balance sheet and other general financial views. The **Cashflow** tab (Peněžní tok) is for the separate cash flow mapping. Open a cell's value by double-clicking and choose from the drop-down.\n\n| Column | Meaning |\n| --- | --- |\n| `Account` | The account you are mapping. If categorization by centre, contract or activity is enabled in Settings, the same account number may have several rows – one per combination. |\n| `PL Type` | Determines whether the item is **Revenue** or **Expenses**. Mandatory for balance sheet accounts. |\n| `BS Category` / `BS Subcategory` | Main and detailed balance sheet breakdown (e.g. Equity › Profit and loss, Current liabilities › VAT, Cash › Cash at bank). |\n\n> **Example:** The account \"Foreign exchange gains\" may have `PL Type` **Revenue**, `PL Category` **Other income**, `PL Subcategory` **Other financial revenue** and `PL Subcategory 2` **Unassigned revenue**. If the account is used in several cost centres, you can set the mapping separately for each account and centre combination.\n\n## Setting up a mapping\n\n1. Find the account you want to include in the income statement in the table. If the account and centre combination is missing, add it with the **+ Add row** button in the top left.\n2. If the account is used for several cost centres, make sure you are editing the right row.\n3. Double-click the `PL Type` cell and choose **Revenue** or **Expenses**.\n4. In the `PL Category` column choose the main category.\n5. In the `PL Subcategory` column choose the matching subcategory.\n6. If you use the second level of breakdown, set `PL Subcategory 2` as well.\n7. For balance sheet accounts fill in `BS Type`, `BS Category` and `BS Subcategory` the same way.\n8. When finished, click **Save mappings** in the bottom right.\n\n> **Tip:** Map from general to detailed: first PL Type, then PL Category, then PL Subcategory and finally PL Subcategory 2.\n\n## Automatic assignment of subcategories\n\nAbove the table is the toggle **Automatically assign default PL subcategories** (Automaticky přiřadit výchozí subkategorie výsledovky). When switched on, Symfio automatically assigns default PL subcategories based on account numbers (using the account classes set in the **Revenue account category** and **Expenses account category** fields).\n\n> **Recommendation:** Use automatic assignment as a starting point. Before saving, however, always check that the automatically assigned subcategories match the income statement breakdown you need. Automatic assignment works only for default subcategories and for custom subcategories you have not edited after creating them.\n\n## Checking warnings\n\nSymfio shows a warning above the table if the mapping is incomplete or if identical combinations have different classifications.\n\n### An item has a PL Type but is missing categorization\n\nThe warning *\"Some rows have a PL type but are missing a PL category.\"* means that some rows have a `PL Type` set but no PL category or one of the required subcategories.\n\n1. Find the rows with a missing category or subcategory.\n2. Fill in the `PL Category` and the matching `PL Subcategory`.\n3. Save the changes with **Save mappings**.\n\n> **Important:** Incomplete mapping may cause an item to appear in the wrong place in the income statement (e.g. in the Unassigned expenses row), or not to be classified correctly in the report structure at all.\n\n### The same combination has different categories\n\nThe warning *\"Some rows have different categories for the same combination\"* means that the same account and centre combination is mapped differently.\n\n1. Find the rows with the same account and centre.\n2. Check their `PL Type`, `PL Category` and both subcategory levels.\n3. Unify the mapping if the items should belong to the same part of the income statement.\n4. Save the changes.\n\n> **Tip:** If the differing mapping is not intentional, unify it before building the report. This prevents the same data from being classified differently in the income statement.\n\n## Bulk editing of mappings\n\nNext to the **Save mappings** button you find **Export to Excel** and **Import from Excel**. Use them for bulk checks or edits of a larger number of rows.\n\n1. Click **Export to Excel** and save the file with the current mapping.\n2. Edit the values in Excel – keep the column structure and category names exactly as they are in the application.\n3. Click **Import from Excel**, select the edited file and check the loaded values in the table.\n4. Confirm with **Save mappings**.\n\n> **Recommendation:** Before a bulk import, always export the current mapping to Excel first. That gives you a backup of the current setup.\n\n## Cashflow tab\n\nOn the **Cashflow** tab you map the dimensions of the **Cash flow statement**, which Symfio builds using the direct method. Each row corresponds to one counter-account from the chart of accounts.\n\n1. Switch to the **Cashflow** tab.\n2. In the `CF Category` column double-click and choose **Operating cash flow**, **Investing cash flow** or **Financing cash flow**.\n3. At a glance you see the total number of open documents and the volume of the oldest receivables or payables.\n\n## By company name panel\n\nThe left panel **By company name** (Podle názvu firmy) ranks counterparties by outstanding balance.\n\n1. Switch between **Top 5**, **Top 10** and **All**.\n2. Read the share of each company in the total in the columns `COMPANY NAME`, `%` and `OUTSTANDING BALANCE`. The **Total** row shows the sum.\n\nThe panel is ideal for setting priorities: the five largest debtors often account for most of the total volume.\n\n## Ageing panel\n\nThe **Ageing** (Stáří) pie chart splits the outstanding balance into buckets by the number of days overdue. For each bucket you see the percentage and the amount.\n\n| Bucket | Meaning |\n| --- | --- |\n| **Not yet due** (Do splatnosti) | Documents whose due date has not passed yet. |\n| **1 - 14 days** | Shortly overdue – a reminder is usually enough. |\n| **15 - 29 days** | Overdue for more than two weeks. |\n| **30 - 59 days** | One to two months overdue – active dunning recommended. |\n| **60 - 89 days** | Two to three months overdue. |\n| **90+ days** | More than three months overdue – risk of bad debt; consider a provision or enforcement. |\n\n## Document table\n\nThe right part of the page contains a table of all open documents for the selected card and filters. Above the table is the document count (for example \"238 documents\").\n\n1. Type into the **Search in table** (Hledat v tabulce) field (document number, company name, amount).\n2. Click **Columns** (Sloupce, for example \"11/13\") and tick the columns you want to display.\n3. Choose another display option from the **Lists** (Seznamy) drop-down if available.\n4. Click **Export** to download the table to Excel – for example to hand over to sales or the legal department.\n\nMain table columns:\n\n- `Entity` – the company the document belongs to (important when several companies are selected).\n- `Document number`, `Company name`, `Document name`.\n- `Outstanding balance` – the remaining amount to be paid.\n- `Overdue` – a label with a coloured dot according to the bucket (for example *due*, *15 - 29 days*, *30 - 59 days*, *90+ days*).\n- `Due date` and further columns as selected.\n\nThe last row, **Total**, sums the outstanding balance of the displayed documents.\n\n## What unmatched payments are\n\nUnmatched payments are incoming or outgoing bank payments that the accounting system has not yet assigned to a specific invoice – typically because of a missing or wrong variable symbol (payment reference), an advance payment, or one amount covering several invoices. Until they are matched they distort the receivables and payables position: the customer has already paid, but the invoice still appears open.\n\n1. Click the **Unmatched payments** card.\n2. Go through the table and find the corresponding invoice by company name and amount.\n3. Pass the list to your accountant for matching in the accounting system. After the next data update the payment disappears from the overview and the invoice's open balance decreases.\n\n## Typical use cases\n\n- **Collections prioritisation:** Receivables card, **Overdue only** ticked, By company name panel set to **Top 10**. You get the list of who to call first.\n- **Planning supplier payments:** Payables card, sorted by Due date, exported for approval of the payment order.\n- **Input for the cash flow forecast:** the Not yet due and 1 - 14 days buckets show how much cash will realistically come in and go out in the coming weeks. Use the values when filling in future months in **Cash flow forecasts**.\n- **Month-end close:** review the 90+ days bucket for provisions and check Unmatched payments before closing the period.\n- **Group view:** selecting all companies together with the Entity column shows the receivables of the whole group, including balances between group companies.\n\n## Tips and common mistakes\n\n> **Tip:** Ask Conrad (the AI controller) \"Which invoices are overdue?\" – it prepares a list by urgency and adds context.\n\n> **Caution:** The report shows the position as of the last data update. Before continuing, make sure no required field is left blank.\n\n## Settings that matter for the income statement\n\nThese fields are the key ones for building the income statement:\n\n| Field | What to set |\n| --- | --- |\n| **PL categorization based on departments** (Kategorizace výsledovky podle oddělení) | Determines which data the income statement categorization is based on. **Account** is mandatory; optionally you can add **Centre**, **Contract** or **Activity**. If you add another dimension, the same account may have several rows in Mappings (one per combination). |\n| **Revenue account category** (Kategorie výnosových účtů) | The account class Symfio treats as revenue accounts – in the Czech chart of accounts typically `6`. |\n| **Expenses account category** (Kategorie nákladových účtů) | The account class Symfio treats as expense accounts – in the Czech chart of accounts typically `5`. |\n\n> **Tip:** Set the **Revenue account category** and **Expenses account category** according to the structure of the chart of accounts used in your company. Before changing them, confirm the setting with the person responsible for accounting data or reporting. Symfio also uses these classes to pre-fill the `PL Type` (Revenue / Expenses) during automatic assignment in Mappings.\n\n## Other required settings\n\nThe tab contains further parameters that relate to the income statement indirectly:\n\n- **Employee ID is separated in the centre ID** – the position (number of characters) at which the employee identifier is separated within the cost centre identifier, for example `5`.\n- **Default VAT rate for revenue** (%) and **Default VAT rate for expenses** (%) – the default VAT rates applicable to your company.\n- **Manual first application date / opening period** – the first period from which data is processed in the application.\n- **Overdraft value** – optional amount of the company's overdraft facility.\n\n> **Important:** Set these values according to your company's accounting and organizational rules. If you are unsure about the meaning of a field, do not change it without consulting your Symfio administrator or the implementation team.\n\n## Default set of PL subcategories\n\nWhen creating a company (**+ Add company**), the **PL subcategorization** field offers **Default** or **Custom**. **Default** creates a set of recommended Symfio income statement subcategories (e.g. Revenue from products and services, Production costs, Personnel costs, Depreciation) you can start mapping to right away. Set up the company hierarchy\n\nThe first step is to define the relationships between companies according to the actual ownership structure of your group. The relationship is defined by the `Parent entity` (Rodičovská entita) field on each subsidiary.\n\n1. Click **Companies** in the left menu.\n2. Select the company you want to place in the hierarchy (the subsidiary).\n3. Click **Edit company** on the **Details** tab.\n4. Select the parent company from the **Parent entity** drop-down (for example Karlínfornia Republic a.s. as the holding company).\n5. Save your changes with **Edit company**.\n6. Repeat for every subsidiary in the group.\n\n> **Tip:** The top-level parent company stays without a parent entity. You can also fill in the parent entity when you first create a company in the **Add company** form.\n\n> **Note:** The hierarchy affects all settings, output reports and dashboards. Set up intercompany parameters\n\nAfter setting up the hierarchy, define which accounts are used for intercompany transactions and how they should be eliminated in consolidation. Repeat for every company in the group.\n\n### Intercompany columns\n\n| Column | Description |\n| --- | --- |\n| `Intercompany category` | Main category for classifying intercompany transactions, for example `Intercompany services`, `Intercompany balance`, `Intercompany capital` or `Intercompany financing`. Used for eliminations in consolidation. |\n| `Intercompany subcategory` | A more detailed breakdown within the category. |\n| `Intercompany level` (Úroveň vnitroskupiny) | Defines at which consolidation level the account is eliminated (see below). Shown for groups with a multi-level structure. |\n| `Counterparty` (Protistrana) | The group company with which intercompany transactions take place through this account. |\n\n### Intercompany level\n\nIf your group has several levels (holding › subsidiaries › sub-subsidiaries), you define for each intercompany account at which level it should be eliminated. Double-click a cell in the `Intercompany level` column to open a menu with these options:\n\n| Value | Meaning |\n| --- | --- |\n| `0` | The account is **not** part of intercompany consolidation. |\n| `Group` | The account belongs to the top level of the parent company – elimination at the level of the whole group. |\n| `Subgroup` | The account belongs to the lower level of a subsidiary – elimination at subgroup level. |\n| `Subgroup 2` to `4` | Lower hierarchy levels (subsidiaries of subsidiaries) for more complex structures. |\n\n### Counterparty\n\nDouble-click a cell in the `Counterparty` column to open the list of all registered group companies. Select the company with which intercompany transactions typically take place through this account. Set the counterparties in the same way for every company you placed in the group hierarchy – the relationship must be filled in on both sides.\n\n### Filtering and saving\n\nTo make working with many accounts easier, use the filters in the column headers. Click the filter icon to display the options:\n\n- **Contains / Does not contain** – text search,\n- **Equals / Does not equal** – exact match,\n- **Starts with / Ends with** – search by beginning or end,\n- **Blank / Not blank** – filter empty values (ideal for checking which accounts are still missing a category).\n\n> **Important:** Click **Save data** after every change. Unsaved changes are lost when you leave the page.\n\n## 3. Consolidated view in the statements\n\nYou get a consolidated view in all statements (Income statement, Balance sheet, Cash flow statement) as well as in the Executive summary and Receivables and payables simply by selecting several companies.\n\n1. Open the required report.\n2. Click the company selector button and tick the parent company and the subsidiaries you want to consolidate. Choose **Select all** to include the whole group.\n3. Confirm with **Apply**.\n4. Expand rows with the **+** icon. The saved report **Company** shows values broken down by individual company.\n\n> **Note:** A consolidated statement combines rows by category and subcategory name. Use the same set of categories (income statement, balance sheet and cash flow) across all companies in the group.\n\n## 4. Check intercompany eliminations in the balance sheet\n\nYou verify that intercompany accounts are tagged correctly using a control view of the balance sheet. Open **Reports › Statements › Balance sheet**.\n2. Select the whole group in the company selector (**Select all**) and confirm with **Apply**.\n3. Click **Show** in the **Saved reports and filters** bar and select the saved report **IntercompanyEliminationCheck**.\n4. Check the view title: **Balance sheet by IntercompanyEliminationCheck — Intercompany category › Intercompany subcategory › Company name › Partner name › Account**.\n5. Check the rows `INTERCOMPANY FINANCING`, `INTERCOMPANY BALANCE`, `INTERCOMPANY SERVICES` and `INTERCOMPANY CAPITAL`. The **TOTAL** row must be **0** – then the eliminations balance.\n6. Expand any category that is not zero down to company and account level, and click a value to open the accounting entries that make up the difference.\n\nThe `NO INTERCOMPANY CATEGORY` row contains all accounts without an intercompany category. It does not have to be zero – these are ordinary (non-intercompany) accounts.\n\n> **Tip:** The most common causes of a non-zero total: one side of the relationship does not have the account tagged with an intercompany category, an invoice is posted in only one company (timing difference), or there is an exchange rate difference on a foreign-currency entity (see below).\n\n## 5. Foreign-currency entities and exchange rates\n\nIf a company in the group uses a different currency from the others (for example a subsidiary in EUR and the group in CZK), Symfio converts its data to the report currency using a **fixed yearly exchange rate**. You can see the rates used under **Reports › Source data** on the **Exchange rates** (Kurzy) tab. You switch the display currency of a report with the currency button (for example **CZK**) in the report toolbar.\n\n> **Note:** Because one rate is used for the whole year while each company's accounting uses daily rates, a small exchange rate difference may remain in the control view for intercompany relationships involving a foreign-currency entity. This is not a mapping error.\n\n## Tips and common mistakes\n\n> **Watch out for duplicate data sources:** If you re-import a company's data (for example a new Excel file), deactivate the old data source on the **Data sources** tab. As part of regular setup you create your own *subcategories*. If you need a new main PL category, this is handled as a custom change – contact the Symfio team.\n\n## How categorization works\n\nThe income statement structure is created in three consecutive steps. All of them are in the company detail (**Companies** › selected company).\n\n1. On the **Settings** tab check the income statement categorization parameters – what it is based on (**Account**, optionally Centre, Contract, Activity) and which account classes are revenue and expenses. The report rows (Revenue, Cost of sales, GROSS PROFIT, Overheads, OPERATING PROFIT, Other expenses, Other income, NET PROFIT, EBITDA and margins) are calculated from the PL categories; subcategories form the further hierarchy levels, which you expand with the **+** button next to a row.\n\n> **Tip:** First prepare a simple structure of categories and subcategories outside Symfio, for example in Excel. When mapping afterwards you will know where each item belongs.\n\n## Troubleshooting common issues\n\n| Problem in the report | What to check |\n| --- | --- |\n| An item does not appear in the income statement | Check that the account has a `PL Type` set and that the mapping was saved with **Save mappings**. |\n| An item is in the wrong category | Check the `PL Category` and `PL Subcategory` under **Mappings**. |\n| An item is shown too generically | Add or adjust the `PL Subcategory 2`. |\n| The same account is displayed differently | Check the account's mapping for individual cost centres (applies when categorizing by departments). |\n| The application shows a warning above the mapping table | Complete the missing categorization or unify the differing mappings of the same account and centre combination. |\n| A change is not visible in the report | Reports are recalculated within about 1 hour after saving; the time of the last update is shown in the report footer. |\n\n> **Tip:** After the first setup, run a check for at least one closed period whose figures you know from accounting. That way you can easily verify that both the income statement structure and the classification of items are correct. Useful for finding a specific document or supplier.\n- **Column filters** – every column has a filter and a menu. Filter, for example, only one account, one cost centre or one month.\n- **Entry count** – below the table you see the total number of rows after filtering (e.g. \"8 260 journal entries\"). This is the number you compare with your accounting system.\n- **Export** – downloads the currently filtered data to Excel for further checking or reconciliation with your accountant.\n\n## Checking after loading a new source\n\n1. Open **Reports › Source data** and in **Company selection** select only the company you are checking.\n2. In **Period selection**, set the period you entered for the data source (Period from–to) and click **Apply**.\n3. On the **Accounting journal** tab, compare the entry count below the table with the number of journal rows in your accounting system for the same period. Rows with a zero amount, which are not loaded, may explain a difference.\n4. Sort or filter the `Date` column and verify that the first and last entries match the selected period.\n5. Filter the `Cost centre ID` column for empty values or the value `no centre`. These are entries without a cost centre – in reports by cost centre they appear on a separate row.\n6. Check the `Company name` column in the same way – the value `no company` means an entry without a counterparty, which limits the Receivables and payables overview.\n7. On the **Chart of accounts** tab, verify that all accounts were loaded. Accounts that are in the journal but missing from the chart are shown in reports by number only.\n8. If the company has a currency other than the reporting currency, open the **Exchange rates** tab and verify that a rate is listed for every loaded year.\n\n## Tips and common mistakes\n\n> **Double the number of entries:** If the entry count is roughly twice that of your accounting system, the company has two active data sources with the same period (e.g. an old and a new Excel). Deactivate one of them in **Companies › Data sources**.\n\n> **Tip:** When a specific item in the Income statement does not add up, click the value in the report (the \"Click a value for details\" button) – you get to the entries that make it up without manual filtering in Source data.\n\n> **Note:** Entities in foreign currency are converted into the group view using a fixed annual rate from the Exchange rates tab. A subscription typically corresponds to one customer or one group of companies – it holds all of their companies and the users who work with them. In the first field, **Subscription**, select the subscription the new company should belong to.\n3. Complete the form as described in [Adding a company](https://symfio.app/en/docs/adding-a-company/).\n\nWhen editing a company (**Edit company**), the subscription is pre-filled according to the current assignment.\n\n## Billing of plans and forecasts\n\n> **Note:** The **Plans** and **Cash flow forecasts** pages show a bar stating that by creating a plan you agree that it will be invoiced at the beginning of the following week according to the price list. Creating a plan or forecast is therefore a paid service charged to your subscription. Confirm with **Apply**.\n\nSelecting several companies creates a consolidated view – values are summed row by row. Click the button with the calendar icon in the toolbar (text such as \"2026\").\n2. Pick a quick range: **Last 3 months**, **Last 6 months**, **Last 12 months**, **This year**, **Last year** or **Last 2 years**. The **Clear** button resets the selection.\n3. Optionally select specific years (2024, 2025, 2026 … or **All**).\n4. Set the column granularity: **Fiscal year**, **Tertial** (four-month period), **Quarter** or **Month**.\n5. Turn on **Show yearly totals** (Zobrazit roční součty) if you want a total column added for each year.\n6. Confirm with **Apply**.\n\nThe table columns then follow the chosen granularity, for example 01/26, 02/26 … for months.\n\n## Closing month, currency and fullscreen\n\n- **Closing month** (for example \"10/2026\") – the last month up to which data is shown. Set it to the last month that has actually been closed so that an incomplete current month does not distort the trend.\n- **Currency** (\"CZK\" button) – converts the whole statement into another currency. Foreign-currency entities are converted at a fixed yearly rate (see Source data › Exchange rates).\n- **Fullscreen** – hides the menu and header for presenting.\n\n## Saved reports and filters\n\nExpand the **Saved reports and filters** bar with the **Show** button. The current hierarchy is always shown in the view title under the toolbar, for example *Income statement by custom selection — Income statement category › Income statement subcategory › Cost centre*.\n\n| Saved report | When to use it |\n| --- | --- |\n| **Category** (Kategorie) | The standard management view: category › subcategory (Revenue, Gross costs, Overheads …). The default choice for monthly reporting and for checking the mapping. |\n| **Account** (Účet) | View by chart-of-accounts account. Use it when reconciling with the books or looking for a specific account. |\n| **Company** (Společnost) | Breakdown by company when several entities are selected. Suitable for group reporting and comparing subsidiaries. |\n| **Cost centre** (Středisko) | Values by cost centre (department, branch). For cost controlling and responsibility reporting. |\n| **Project** (Zakázka) | Values by project or job. For project-based companies and tracking project profitability. |\n| **Activity** (Činnost) | Values by activity (segment). For companies with several lines of business. |\n| **DefaultPresentation** | The default presentation view to return to when you have \"broken\" a work-in-progress statement. |\n| Other chips (for example IntercompanyEliminationCheck, \"+99\") | Your organisation's own saved reports, for example the intercompany elimination control view in the Balance sheet. |\n\n### Saving your own setup\n\n1. Set the companies, period, granularity and hierarchy the way you need them. The indicator **Modified (unsaved)** (Upraveno (neuloženo)) appears in the bar.\n2. Click **Save report as** and name the report.\n3. Next time, open the report with a single click on its chip.\n\n- **Comments** – toggles the display of comments on statement values.\n- **Create custom report** – opens a wizard in which you choose your own order of row dimensions (for example Income statement category › Cost centre › Account).\n\n## Working with the table\n\n### Icons above the table\n\nIn the top-left corner of the table there are four icons (names appear on hover):\n\n- **Export data** – downloads the current view to Excel.\n- **Sorting** – sorts rows by value.\n- **Expand to the next hierarchy level** – opens all rows one level deeper.\n- **Collapse one level** – closes the lowest open level.\n\nEach row has a **+** (Expand) or **−** (Collapse) icon for working with individual branches of the hierarchy.\n\n### ACT, PLN and Δ columns\n\nIn the Income statement each period has three columns if the company has a plan:\n\n| Column | Meaning |\n| --- | --- |\n| **ACT** (SKT) | Actuals from the accounting system. |\n| **PLN** \"Plan / Main\" | The planned value from the `Main` scenario of the income statement plan. |\n| **Δ** \"vs Plan / Main\" | The difference between actuals and plan, in absolute terms and in per cent. A positive difference is shown in **green**, a negative one in **red**. |\n\nStatement subtotals (GROSS PROFIT, OPERATING PROFIT, NET PROFIT, EBITDA, TOTAL COSTS) are in bold; margins (GROSS MARGIN, OPERATING MARGIN, NET MARGIN, EBITDA MARGIN) are in per cent.\n\n### Value detail (drill-down)\n\n1. Note the **Click a value for detail** (Klikněte na hodnotu pro detail) button above the table on the right.\n2. Click any number in the table.\n3. Review the accounting entries (transactions) that make up the value – document, text, amount, account and contra account.\n\n### Footer\n\nAt the bottom of every statement you find **Accounting data updated** (Aktualizace účetních dat) with the date and time of the last data load from the accounting system. If you expect newer figures, check this time first.\n\n## Tips and common mistakes\n\n> **Tip:** For a year-on-year comparison set **Last 2 years**, granularity **Month** and turn on **Show yearly totals**. For a board report, **Quarter** granularity is enough.\n\n> **Caution:** The **Modified (unsaved)** indicator means the current setup disappears when you close the page.
